Office Manager in Voorburg, The Netherlands

This important and fun role is really diverse and at times demanding: you work with our colleagues in our Voorburg and Amsterdam.

Whether it is ensuring a great onboarding for a new colleague, booking travel, managing the diary of the Managing Director, no day is the same.

You are a do-er, getting-things-done-type of person, outgoing and fun to be around with.

You are very well organized, at ease with all people, not easily intimidated by a challenging task, or last minute work. You are fast, welcoming, and can be tough if needed.

You know your tools & systems and have no issues getting things (technically) organized when it comes to meetings, flights, events.

You are there to help and most likely already knew what they required before our colleagues knew.

Office management

  • Welcome guests and serve beverages.
  • Supervision of office cleaning services and office maintenance.
  • Access Tags: Application, programming, allocating.
  • Ensuring that the kitchen is well stocked.
  • General assistance to: Managing Director.
  • Manage suppliers.
  • Travel and accommodation arrangements: Organize and coordinate travel arrangements for management, including flights, accommodations and transportation.
  • Meetings and Events: Organize and coordinate meetings, conferences and events, including reserving meeting rooms and preparing agendas.
  • Support colleagues and team members to improve overall efficiency.
  • Negotiate contracts and agreements with vendors and service providers.

Management Assistant / HR support

  • Provide administrative support to members of the management team, such as the Managing Director and CEO, or other senior executives. This includes tasks like managing their schedules, and organizing meetings.
  • Assist in the execution of special projects, which may include research and project coordination.
  • Maintain the highest level of confidentiality regarding sensitive information, as Management Assistants often have access to privileged company data
  • Serve as a point of contact between employees and Managing Director
  • Assist with recruiting and onboarding of new employees.
  • Maintain employee records and documentation.
